1. Who we are

roha tech corp. ("roha tech", "we", "us") is a managed IT provider based in Calgary, Alberta, serving pharmacies, clinics and other small businesses. This policy covers personal information we collect through rohatech.ca (the "site"). It does not cover the information our clients handle in their own systems, which we manage on their behalf under separate agreements.

Privacy contact: [name or title], hello@rohatech.ca, [mailing address], Calgary, Alberta.

2. Laws that apply

We handle personal information in line with Alberta's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA). Our clients that are health custodians may also be subject to Alberta's Health Information Act. We do not need, and ask you not to send us, patient or health information through this site.

Booking a consultThe details you enter on our Microsoft Bookings page, typically your name, email address, phone number, chosen time and any notes you add.
Spam and bot protectionWhen you submit a form, Cloudflare Turnstile checks that you are a person. It receives your IP address and technical signals about your browser and device.
Site analytics (only if you accept)Microsoft Clarity records how you use the site: pages viewed, clicks, scrolling, mouse movement, device and browser type, approximate location from your IP address, and anonymised session recordings. Form fields are masked.
Hosting and security logsOur host, Cloudflare, logs technical request data such as IP address, browser type, pages requested and time, to deliver the site and detect abuse.
Email and phoneIf you email or call us, we keep the message or call details, and the information you give us.

4. How we use it

We use the information above only for these purposes:

  • Responding to you: answering enquiries, replying to messages and arranging and confirming consults.
  • Providing and quoting our services: assessing whether a managed plan fits your business and preparing proposals you ask for.
  • Booking administration: scheduling, reminders, rescheduling and follow-up for the consult you booked.
  • Security and fraud prevention: blocking spam, bots and abuse, and protecting the site and our systems.
  • Improving the site: understanding which pages and layouts work, finding usability problems and fixing errors. This uses analytics data only if you accepted analytics.
  • Follow-up about our services: we may contact you about related services if you asked for a proposal or told us you want to hear from us. You can opt out any time.
  • Legal and business needs: meeting legal, tax and accounting obligations, resolving disputes and enforcing our agreements.

We do not sell personal information, and we do not use it for automated decisions about you.

5. Analytics and cookies

The site does not set advertising cookies. If analytics is switched on, a banner asks for your choice before anything loads. If you accept, Microsoft Clarity sets its own cookies and identifiers to recognise your visit and records your interactions. If you decline, Clarity does not load. Your choice is saved in your browser's local storage, and you can change it any time with "Cookie settings" in the footer. Clarity's own handling of data is described in the Microsoft privacy statement.

Cloudflare Turnstile may use short-lived technical data to tell people from bots. It is needed for the forms to work and for security.

6. Who we share it with

We share personal information only with service providers that help us run the site and our business, and only as needed:

  • Microsoft (Microsoft 365 email, Microsoft Bookings, Microsoft Clarity).
  • Cloudflare (hosting, security and Turnstile).
  • [Other providers, for example CRM, ticketing or accounting software.]

We may also disclose information where the law requires it, or to professional advisers under confidentiality. If our business is sold or reorganised, information may transfer to the new owner under the same protections.

7. Where it is stored

Our providers may store and process information outside Canada, including in the United States. Information held outside Canada may be accessible to courts and authorities there under their laws. You can ask us about our service providers and where they process information using the contact details above.

8. How long we keep it

  • Enquiries and booking details: [24 months] after our last contact, or longer if you become a client, in which case client record rules apply.
  • Analytics data: kept by Microsoft Clarity for [13 months], according to the retention set in our Clarity project.
  • Security and hosting logs: kept by Cloudflare for the period set by its plan, normally a few weeks or less.

When we no longer need information, we delete it or make it anonymous.

9. How we protect it

We use encrypted connections (HTTPS), restrict access to people who need it, limit the mailbox the site form can send from, and keep the site's keys and credentials out of the website itself. No method of transmission or storage is completely secure, so please do not send sensitive information through the site.

10. Your choices and rights

You can ask us to tell you what personal information we hold about you and how we use it, to correct it, or to delete it. You can withdraw consent to analytics through "Cookie settings" or to follow-up contact by telling us. We will respond within the time the law allows, normally 45 days. Some information we must keep for legal reasons. Contact us at hello@rohatech.ca.

If you are not satisfied with our response, you can complain to the Office of the Information and Privacy Commissioner of Alberta or, for matters under federal law, the Office of the Privacy Commissioner of Canada.

11. Children

The site is for businesses and is not directed to children. We do not knowingly collect information from anyone under 18.

12. Links to other sites

The site may link to other websites, including our product sites. They have their own privacy practices, and this policy does not cover them.

13. Changes to this policy

We will post changes on this page and update the date above. If a change is significant, we will say so on the site.
